What Happens to the Calls You Miss While Grooming

Here's what those calls cost, the options for catching them, and how Teddy's AI receptionist handles one

Editorial Team

It's 10:40 on a Thursday. You're halfway through a standard poodle's topknot, scissors in one hand, comb in the other, and the phone starts buzzing on the shelf. You let it go. It buzzes again at 11:15 and at 11:50. By the time you check at lunch there are three missed calls and one voicemail that says "Hi, um, just wondering about prices, I'll try somewhere else."

That's the whole problem an AI receptionist for groomers is meant to solve. This post covers what those calls cost, the ways to catch them, and exactly what ours does when one comes in.

Do the math on your own missed calls

You don't need industry statistics for this. Use your own phone.

  1. Open your call log and count unanswered calls from numbers not in your contacts over the last seven days.
  2. Assume some share were new clients. Be conservative and say one in three.
  3. Multiply by your average first-visit ticket.
  4. Multiply by how many times a regular comes back in a year. On a six-week cycle that's eight or nine visits.
 Example shopYour shop
Missed unknown calls per week9
Likely new clients (1 in 3)3
Average ticket$85
Lost first visits per week$255
Yearly value if each became a regular (8 visits)$2,040 per week of missed calls

The example is made up, but the shape is right. A new caller who doesn't get an answer usually calls the next groomer on the map. They rarely leave a voicemail.

Four ways to catch those calls

Hire a front desk person. The best experience for clients and by far the most expensive. Makes sense once you have four or more groomers.

Use a human answering service. They pick up, take a message and send it to you. They don't know your services or your calendar, so you still call everyone back.

Auto-text on missed call. A simple "Sorry we missed you, text us here." Cheap and better than nothing. The client still has to do the work.

An AI receptionist. Replies right away, asks about the dog, and hands you a ready-to-approve request.

Groomers on The Daily Groomer podcast have talked about this trade-off for years. Nick Diamond of Chubbs Mobile gets into how he uses AI and Instagram to win clients in this episode.

What Teddy does with a missed call

Here's the sequence on our AI receptionist, step by step.

  1. The call goes unanswered. You're grooming, driving, or closed for the night.
  2. The caller gets a reply. They aren't left with a voicemail greeting and a beep.
  3. It collects what you'd ask. Owner name, dog's name, breed, rough size, what service they want, when the last groom was, and preferred days.
  4. It follows up by text. The conversation lands in the same thread you'd use to text that client later.
  5. You get a booking request. Not a confirmed appointment. You look at the details, approve it, or suggest a different time.

That last step is on purpose. A stranger's "medium-sized mix, hasn't been groomed in a while" could be a 25-minute bath or a two-hour de-mat. You decide what goes on your calendar.

Missed-call and after-hours handling is part of the Plus plan. Details are on the pricing page.

What it won't do

It's worth being clear about limits.

  • It won't quote a matted dog accurately. Nobody can over the phone.
  • It won't calm down an upset client. Those calls should come to you.
  • It won't replace the relationship. Regulars who want to chat about their dog's surgery want a person.

Think of it as the part of a receptionist's job that happens while you physically can't get to the phone.

How to set it up so it sounds like your shop

A few things make the difference between "helpful" and "robotic."

  • Give it your real service list and price ranges. "Full grooms for small dogs start at $75" is more useful than "prices vary."
  • Tell it what you don't do. No cats, no dogs over 80 pounds, no same-day bookings.
  • Set your hours and your booking window. If you're three weeks out, say so up front.
  • Write the first message yourself. Something like "Hi, this is Paws on Pine. We're with a dog right now. What can we help with?"

Is it worth it for a solo groomer?

Sometimes not. If you get two calls a week from strangers and your book is full with a waitlist, you don't need it. Turn on a basic missed-call text and move on.

It earns its keep when you're trying to grow, when you've just added a groomer and have chairs to fill, or when you close at 4 p.m. and most of your inquiries arrive after dinner.

Other platforms are building similar features. MoeGo has been adding AI tools, and general-purpose AI phone services exist too. The advantage of one built into your grooming software is that the request arrives next to your calendar and client records, so there's nothing to re-type. We wrote more about that in Run Your Whole Grooming Salon From One App.

Frequently Asked Questions

What is an AI receptionist for groomers?

It's software that responds when you can't answer the phone, gathers details about the pet and the service wanted, and sends you a booking request to approve.

Does the AI receptionist book appointments on its own?

On Teddy, no. It creates a request and you approve it, so you stay in control of your calendar.

How much does Teddy's AI receptionist cost?

Missed-call and after-hours handling is included in the Plus plan at $199 a month per location.

Will clients know they're talking to an AI?

Be upfront about it in your greeting. Most callers care more about getting a fast reply than who sent it.

Can I just use a missed-call text instead?

Yes, and for a full book that's often enough. An AI receptionist is more useful when you're actively adding new clients.
